Job Description
Job Purpose:
The Procurement Officer is responsible for the daily procurement for the whole school. They will track and manage the end-to-end process from order to delivery.
Key Accountabilities:
- Responsible for ordering any items required on a daily, weekly, monthly or annual basis. Including all stationery.
- Be familiar with Taaleem approved vendors for any orders placed.
- Responsible for ensuring all orders are placed in a timely manner for required delivery timelines.
- Keep an up to date record and inventory of all items, with set re order levels for each item.
- Compare and evaluate quotations from suppliers.
- Negotiate with suppliers regarding payment terms and costs.
- Manage all orders against relevant budget codes.
- Ensure all orders placed are approved by responsible person prior to order being placed.
- Track orders placed through to completion.
- Ensure tracking is in place for orders handed out to staff.
- Track and monitor any delayed/cancelled items from orders placed and offer a substitute item to the staff if available.
- Review quality of products at all times when delivery is made for any discrepancies.
- Maintain good relationships with all suppliers.
- Delivery notes and invoices to be submitted to accounts for timely payments.
- Storekeeper to update all the records – items including Furniture.
- Keep Delivery Receipts for internal process- (when teachers receive the requested items).
- Responsible for the iPad trolly.
Skills
Education: Degree in Business Management or similar accounting qualification.
Experience: Minimum 2 years’ experience in similar role, ideally in a school setting
Competencies:
• Excellent collaborative skills and able to quickly establish effective relationships with internal and external stakeholders.
• Demonstrates a proactive approach.
• Fluency in Arabic and French is desirable.
Attributes:
• Highly numerate.
• Flexible and able to manage tight deadlines.
• Positive and hands on attitude.
