Job Purpose
- Post-holder will work closely with the Admissions Manager to provide a professional and high-quality admissions service to all enquirers, applicants, and their families, both from the UAE and abroad.
- The Admissions Assistant works collaboratively to deliver a high-quality standard of support, ensuring services are efficient and effective.
- Provide administrative support to ensure procedures are adhered to and specific projects are effective.
- This is a busy and varied role involving daily communication with academic staff, pupils, and visiting families.
- The post-holder must:
- Work well under pressure.
- Have excellent organisational skills.
- Demonstrate good use of initiative.
- Have the ability to multi-task and prioritise.
- A collaborative and coherent approach is essential to ensure:
- The team is fully conversant with processes and procedures.
- The team can contribute effectively to any activity within the department.
- Handle daily enquiries, arrange appointments, and conduct interviews and testing as appropriate.
- Provide ongoing support to the Admissions team.
- Understand and practice all aspects of the Admissions Manager role to provide cover when the Admissions Manager is unavailable, such as during holidays.

Key Accountabilities
Database Management
- Ensure effective use of the data management system.
- Enter data accurately and within appropriate timescales into the student database system from the initial enquiry stage onwards.
Analysis and Research
- Undertake database training as required.
- Support the development, creation, and use of admissions statistical reports.
- Monitor progress against targets and identify trends.
Admissions Process
- Support the Admissions Manager throughout the recruitment process.
- Meet with families on a daily basis.
- Support the Admissions Manager to ensure timely responses and high-quality service for all enquiries and applications.
Administration
- Provide general administrative support to ensure the smooth running of the Admissions Office.
- Respond efficiently to telephone and email enquiries regarding the school and admissions process from prospective and new parents.
- Communicate clearly with families who may:
- Be unfamiliar with the curriculum.
- Have English as an additional language.
- Send promotional literature to prospective families and representatives.
- Ensure all correspondence and documentation:
- Are received and acknowledged.
- Are correctly filed.
- Are shared with relevant departments as required.
- Work closely with the Registrar to follow up on outstanding documentation.
- Process admissions documents.
- Provide administrative support related to student enrolment.
Parent Engagement and Recruitment Events
- Attend and support admissions events, including:
- Virtual and digital events.
- Open days.
- Taster days.
- Coffee mornings.
- Conduct school tours for prospective families as required.
- Promote the school effectively by highlighting:
- Academic achievements.
- Non-academic achievements.
Any Other Duties
- Create a positive image of the school.
- Work in accordance with Taaleem policies.
- Undertake any other duties considered within the scope of this position.
